TaskScale vs Workflowy: Scheduled and Repeating Tasks

Workflowy and TaskScale are both nested-outline apps, and on the basics of typing and indenting bullets they overlap a lot. This page sticks to two questions where they actually diverge: what it is like to organize a project that runs for weeks, and what happens with tasks that have a due date or repeat.

It is not a full feature matrix, and it is not a "TaskScale is better" pitch - Workflowy is the better tool for some of what people use it for, and we say plainly where that is true below.

Organizing a multi-week project

Workflowy's core interaction - zoom into any bullet and it becomes your whole screen - is genuinely good for a big, loosely-structured brainstorming tree, and its Mirrors let the same bullet live in several places at once, fully live-synced. TaskScale has no equivalent to Mirrors.

What TaskScale adds is structure around a project once it has to run for several weeks rather than stay a single freeform list: Areas and Workspaces give the project a fixed home instead of a spot inside one long document, and switching a branch to Project mode surfaces that branch's first pending Action or Checklist item as its Next Action automatically, on a single page across every project. That is the piece a plain outline - in either app - does not do on its own: it tells you what to work on next without you re-reading the whole tree.

Scheduled and repeating tasks

It is worth being precise here rather than relying on an older, date-free version of Workflowy: between October 2025 and September 2026 Workflowy added a real Calendar/Today view with drag-to-schedule, a 30-day Timeline, an opt-in daily "Today Digest" email, and read-only Google Calendar sync. Dates in Workflowy are still tags attached to content rather than a dedicated due-date field on a task type, and there is still no per-item reminder beyond that daily digest email.

The clearest gap is recurring tasks: as of September 2026 Workflowy has no native repeating-task feature - the workarounds are manual, whether that is retyping a date tag, copying Workflowy's own "Forever Calendar" template by hand, or a third-party app. On TaskScale's side, Due Date and Start Date are dedicated fields on any node, both feed the Day Planner automatically, and a task marked Repeating regenerates itself on schedule without retyping anything.

When Workflowy is genuinely the better fit

If what you actually want is a fast, keyboard-driven, zero-friction place to dump thoughts and organize them by zooming in and out - and you do not need repeating tasks - use Workflowy. Its speed and minimalism as a pure outliner are real, Mirrors have no equivalent in TaskScale, and its zoom/focus navigation is a better fit than TaskScale for a large, freeform brainstorming tree that is not primarily about deadlines or projects with a Next Action. TaskScale is built around the opposite trade-off: more structure around Areas, Workspaces, dates and repetition, in exchange for being less of a pure minimalist notes tool.
